Privacy Policy

This document explains how DigitalShift collects, uses, and protects personal information.

Quick Summary

1. Scope and Introduction

This Privacy Policy explains how DigitalShift Interactive Inc. (“DigitalShift,” “we,” “us,” or “our”) collects, uses, discloses, stores, and otherwise processes personal information in connection with DigitalShift’s shared software platform (the “Platform”) and related hosted, support, billing, security, account-administration, and operational services (the “Services”). An “Organization” means the sports organization, league, club, tournament operator, team, or similar entity that uses the Platform and Services and controls the relevant registration flow, participant records, communications, or website experience.

DigitalShift markets the shared Platform through sport-specific brands such as HockeyShift, SoccerShift, FootballShift, LacrosseShift, BaseballShift, BasketballShift, RugbyShift, and VolleyballShift. Those names are product or marketing brands for the shared Platform and are not separate legal operators.

This Privacy Policy applies to personal information processed through:

  • public websites or public-facing website features that an Organization operates through the Platform and Services (“Organization Websites”)
  • registration workflows provided through the Platform and Services (“Registration”)
  • the account-linked end-user area used for Registration, participant records, and role-based team or participant management (the “Member Portal”)
  • communication tooling
  • scheduling, standings, stats, and related sports-information features
  • support, billing, and account-administration activities
  • a DigitalShift mobile application or similar application surface (the “App”), to the extent the App displays public information or collects technical usage information

Separate legal terms may also apply to particular product surfaces, including Website Visitor Terms for public browsing and Member Portal Terms for features accessed through a Member Portal user account.

2. Audience, Children, and Minors

The Platform may be used in connection with youth sports and personal information relating to minors.

Organizations are responsible for deciding what information relating to minors they collect, what parental or guardian notices, permissions, or authorizations are required, and what age thresholds trigger a required parent or legal guardian signature for registration materials, waivers, consents, or related submissions.

Where a participant is a minor, information relating to that participant is expected to be submitted and managed by a parent, guardian, or authorized Organization representative rather than by the participant directly. The Member Portal is intended for adult account holders, not for direct use by minors.

Where the Platform collects information relating to minors, DigitalShift generally processes that information on the relevant Organization’s behalf, except for limited business-operation, support, security, and legal-compliance purposes described in this Privacy Policy.

DigitalShift does not sell Platform personal information relating to minors and does not use it for advertising profiling, cross-context behavioral advertising, or automated sports-program eligibility decisions.

3. Role of DigitalShift and the Organization

DigitalShift provides software and related service operations to sports Organizations.

In most cases, the Organization decides what registration, participant, parent, guardian, coach, volunteer, minor-related, household, or related information is collected through the Platform and how that information is used in the Organization’s programs and operations. For that Organization-controlled personal information, DigitalShift generally acts as a processor, service provider, or similar role where those concepts apply under applicable law.

DigitalShift separately acts in its own direct role, where applicable, for limited business-operation purposes such as:

  • account creation and account administration
  • subscription billing, invoices, and payment-status records
  • support and troubleshooting
  • fraud prevention and abuse prevention
  • service security, monitoring, debugging, and reliability
  • legal compliance, recordkeeping, and enforcement

Because the Organization usually controls the relevant participant and registration data, privacy requests about that data should generally be directed to the relevant Organization first.

4. Personal Information We Process

The Platform is used by sports Organizations (including youth sports) and may process personal information relating to minors, parents, guardians, coaches, volunteers, and other household-linked users.

Depending on how the Platform is configured and used, DigitalShift may process the following categories of personal information:

Registration, participant, and household information participant identity details, team details, registration responses, selected programs, date of birth where collected by the Organization, medical or emergency-contact details where collected by the Organization, parent or guardian information, and related enrollment records
Sports-role and public sports-information records player, coach, official, volunteer, administrator, team manager, and staff information; roster, team, schedule, standings, stats, profile, and similar sports-information records
Waiver, consent, and submitted content waiver, consent, e-signature, parent or legal guardian signature records, uploaded files, photos, profile images, and related media
Communications and support information message content, delivery metadata, communication preferences, support communications, and support records
Transaction and technical information transaction-related information, payment-status records, device and browser information, session data, IP address, technical logs, error reports, and security-event information

The specific data involved depends heavily on how each Organization configures and uses the Platform. The minimum platform-required Registration data is limited, and most registration fields are selected by the Organization.

5. How We Use Personal Information

We may use personal information to:

  • provide, host, maintain, and support the Platform and Services
  • authenticate users and manage accounts or permissions
  • process registrations and related workflow events on the relevant Organization’s behalf
  • send Transactional Communications such as registration confirmations, security notices, invoices, and billing notices
  • enable Program Update Communications sent at the Organization’s direction, such as game reminders or updates about date, time, facility, team, or similar sports-program details
  • enable Organization Communications sent at the Organization’s direction
  • secure the Platform, investigate misuse, and prevent fraud
  • monitor performance, debug errors, maintain reliability, and improve the Services
  • comply with legal obligations and enforce our agreements

Where we process Organization-controlled personal information, we do so on behalf of the relevant Organization, subject to our agreements with that Organization and applicable law.

DigitalShift’s own direct use of personal information is generally limited to account administration, billing, support, service security, fraud prevention, abuse prevention, legal compliance, recordkeeping, and related business operations.

We may also use aggregated, de-identified, or anonymized information that does not identify an individual for analytics, reporting, service improvement, security, and operational purposes, subject to applicable law.

6. Communications

DigitalShift supports three main communication categories:

  • “Transactional Communications,” which are mandatory operational messages needed to provide, secure, support, or bill for the Platform and Services
  • “Program Update Communications,” which are Organization-directed operational updates about games, practices, schedules, facilities, teams, cancellations, or similar sports-program changes
  • “Organization Communications,” which are other non-transactional messages initiated by an Organization through the Platform and Services, such as newsletters or general direct messages

A person who accesses or uses the Platform and Services because of that person’s relationship with an Organization, including a parent, guardian, player, coach, volunteer, official, team manager, or administrator (an “End User”), may be able to opt out of Program Update Communications and Organization Communications, but may still receive Transactional Communications that are necessary to provide or administer the Platform and Services.

The Organization is responsible for the content, legal basis, recipient selection, and compliance posture of Program Update Communications and Organization Communications.

7. Public Information and Visibility

The Platform and Services include public-facing sports-information features such as Organization Websites, public roster pages, public profile pages, schedules, standings, stats, and similar displays.

Participant or player names may be public by default in some Platform features. If a person record has a photo, that photo may also be publicly visible. Additional public-facing information may be visible depending on Organization settings and feature use.

Organizations control whether they use those features and what additional information they choose to make public through them.

The relevant Organization is responsible for deciding whether public or shared visibility of participant information, including minor-related information, photos, roster data, and profile information, is appropriate.

8. Payments

DigitalShift does not store full payment card numbers or card security codes in its own systems.

Organization subscription billing and Registration payments made through the Platform are processed through Stripe.

An Organization may separately choose to use an optional website payment or form feature, or another Organization-selected website integration, that operates outside the Member Portal and Registration system and uses PayPal or another processor for that website use.

DigitalShift may retain limited billing, invoice, transaction-status, and Stripe customer identifier information for account administration, accounting, tax, fraud prevention, dispute handling, and legal compliance.

Registration refund decisions and many program-payment disputes are generally controlled by the relevant Organization and the applicable payment processor, not by DigitalShift.

9. Service Providers and Disclosures

DigitalShift uses service providers to operate the Platform and related business functions. Depending on the service and time period, these providers may include categories and current examples such as:

  • hosting and infrastructure providers, such as Linode and DigitalOcean
  • DNS providers, such as AWS Route 53
  • payment processors, such as Stripe
  • email and corporate communications providers, such as SendGrid and Google
  • performance, error-monitoring, and security tools, such as New Relic and Sentry

These providers operate external services and infrastructure, some of which remain outside DigitalShift’s direct operational control.

If an Organization separately adds analytics tools, advertising pixels, plugins, embeds, scripts, or other third-party tools to its Organization Website or related experiences, those tools are controlled by the Organization rather than being default DigitalShift behavior.

We may disclose personal information:

  • to service providers acting on our behalf
  • to the relevant Organization or its authorized staff or other representatives with administrative access to the Platform or Organization records
  • as part of a merger, financing, acquisition, reorganization, sale of assets, or similar transaction
  • where required to comply with law, legal process, or lawful governmental request
  • where necessary to protect rights, safety, security, or the Services

More current provider or subprocessor information may be made available on reasonable request through support@digitalshift.ca.

10. Cookies, Technical Data, and Tracking

DigitalShift may use cookies, session technologies, authentication tools, technical logs, IP addresses, device and browser information, and similar technologies that are reasonably necessary to operate, secure, debug, and maintain the Platform and Services.

DigitalShift does not intentionally use Platform personal information for advertising profiling or cross-context behavioral advertising, and does not intentionally deploy advertising tracking technologies on Organization Websites by default.

Organizations may independently add analytics tools, advertising pixels, social embeds, plugins, custom scripts, or other tracking technologies to their Organization Websites or related experiences, including a final confirmation screen in a Registration flow where the Organization chooses to add such tools. The Organization is responsible for those tools, related notices, and any required consent or compliance measures. Third parties used in that way may collect information directly under their own terms and privacy practices.

11. Retention and Deletion

Organization-controlled data is not automatically deleted immediately after cancellation, inactivity, or termination.

DigitalShift may retain different categories of information for different periods, including active platform data, backups, logs, invoice and billing records, support records, fraud-prevention records, and security records.

Some data may remain in backups, logs, or archival systems for a period of time after deletion from active systems.

DigitalShift may support manual deletion of Organization-controlled data after a verified request from the Organization, subject to legal, accounting, security, dispute, backup, and operational constraints.

DigitalShift does not promise universal self-serve deletion, export, or portability across all data types or all historical records.

12. Data Rights and Requests

Depending on applicable law, individuals may have rights relating to access, correction, deletion, withdrawal of consent, or similar privacy requests.

How a request is handled may depend on applicable law, the role of the relevant Organization, the type of information involved, and legal, technical, operational, security, accounting, dispute, backup, or recordkeeping constraints.

Because DigitalShift generally processes registration and participant information on behalf of an Organization, requests about that Organization-controlled information should usually be directed to the relevant Organization first.

Requests involving minor-related participant information should usually be directed to the relevant Organization first because the Organization controls the registration design, notices, permissions, visibility choices, and underlying participant record.

Where available, parents or guardians may use Member Portal features to review or update participant information connected to their login identity used to access the Platform. Those tools may not cover all Organization-controlled records, historical records, uploaded content, public roster or profile settings, or information managed by an Organization or another authorized user.

DigitalShift may forward or redirect requests involving Organization-controlled information to the relevant Organization. DigitalShift may respond directly where the request relates to information DigitalShift controls for its own business-operation purposes, such as account, billing, support, or security records, when required by applicable law.

13. Security

DigitalShift maintains reasonable administrative, technical, and organizational safeguards designed to protect personal information, including access controls, encryption in transit where appropriate, monitoring, logging, and security-focused operational practices.

No method of transmission or storage is completely secure, and DigitalShift cannot guarantee absolute security.

DigitalShift will provide notice of a confirmed security incident affecting personal information when and to the extent required by applicable law.

14. No AI Profiling or Automated Decisions

DigitalShift does not provide AI-driven eligibility decisions, automated decision-making, profiling systems, or advertising-personalization features within the Platform and Services, and does not use Platform personal information for advertising profiling or automated sports-program eligibility decisions.

15. International Storage and Processing

Personal information may be stored or processed in Canada, the United States, or other jurisdictions where DigitalShift or its service providers operate.

Those jurisdictions may have privacy or data-protection laws that differ from the laws of the place where the individual resides.

16. Business Transfers

Personal information may be transferred as part of a merger, acquisition, financing, corporate reorganization, sale of assets, bankruptcy proceeding, or similar transaction, subject to applicable confidentiality and legal requirements.

17. Changes to This Privacy Policy

DigitalShift may update this Privacy Policy from time to time. Updated versions will be posted with a revised “Last Updated” date.

Where required by applicable law, DigitalShift may provide additional notice or seek additional consent for material changes to privacy practices.
